Cubio Workflow

Terms of Service

Last updated: 21 October 2026

These terms govern the use of Workflow — the web editor at workflow.cubio.no, the Workflow app for Even Realities glasses and the related services ("the service") — provided by Cubio AS, organisation number 925 322 504 MVA, Fridtjof Nansens veg 43, 2816 Gjøvik, Norway ("Cubio", "we", "us"). The customer is the organisation that creates an account ("you"). By creating an account, subscribing or using the service you accept these terms, our Refund Policy and our Privacy Policy.

Reseller and Merchant of Record

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns. Paddle's buyer terms apply to the payment in addition to these terms.

The service

Workflow lets you build step-by-step checklists, assign jobs to your workers and customers, carry them out hands-free on smart glasses with a phone as companion, and receive reports with answers, deviations and photos. The service is intended for businesses.

Accounts

You are responsible for the users you invite, for keeping access to their email accounts secure (sign-in is by emailed link), and for revoking paired devices that are lost. Administrators of your account act on your behalf.

Plans, trial and subscriptions

  • New accounts get a 30-day trial of the full service. After the trial the account moves to the Free plan unless a subscription is bought. No data is deleted when this happens.
  • Photo storage is limited: 250 MB per account on the Free plan, and 2 GB per licence on paid plans and during the trial. When it is full, new photos cannot be added until space is freed or the plan is changed.
  • On the Free plan, photos older than 12 months are removed; the reports keep their answers and show that a photo was taken. A Free account that nobody has signed in to or used glasses with for 6 months is deleted with all its data, after warnings by email 30 and 7 days before. These Free plan rules start 30 days after a trial or a paid subscription ends. Paid accounts are never deleted for not being used.
  • Paid plans (Team and Business) are subscriptions billed monthly in advance, per seat. Each seat is one licence, which you give to a named user; only users with a licence can carry out jobs. You cannot give more licences than you have seats. If you reduce the number of seats below the number of licensed users, the most recently licensed users cannot carry out jobs until a licence is freed. Office users who do not carry out jobs need no licence.
  • Prices are shown at checkout. Applicable VAT or sales tax is calculated and collected by Paddle.
  • You can change plan or number of seats at any time, with immediate effect. More seats or a higher plan are charged in proportion for the rest of the billing period. Fewer seats or a lower plan give no credit for the period already paid; the lower price applies from the next period.
  • Subscriptions renew automatically each month until cancelled. You can cancel at any time from the Subscription page; the plan stays active until the end of the period already paid, and then the account moves to the Free plan.
  • We may change prices with at least 30 days' notice by email; the new price applies from the next billing period after the notice.

Your data

You own the content you and your users put into the service: checklists, jobs, answers, photos and customer details. We process it on your behalf to provide the service, as described in the Privacy Policy, and do not use it for anything else. You can export reports at any time. We delete data as described above for the Free plan, and when the account is closed, as described in the Privacy Policy. A data processing agreement is available on request.

Acceptable use

You may not use the service for unlawful purposes, upload content you have no right to, attempt to gain access to other customers' data, or interfere with the service's operation. You may not resell the service without our written agreement.

Safety

Workflow guides work; it does not replace training, safety procedures or the judgement of the person doing the job. Use the glasses only where it is safe to do so, and follow your own workplace's rules for protective equipment and attention. You are responsible for the content of your checklists.

Availability and changes

We work to keep the service available and secure but do not guarantee uninterrupted operation unless agreed in writing. We may improve and change the service; we will not remove core functionality of a paid plan during a paid period without notice.

Liability

The service is provided as is, to the extent permitted by law. Cubio is not liable for indirect or consequential loss, lost profit or lost data. Our total liability for any claim is limited to the amount you paid for the service in the 12 months before the claim arose. Nothing in these terms limits liability that cannot be limited by law.

Termination

You can stop using the service and ask us to close the account at any time; we then delete its data within 30 days. We may suspend or close an account that seriously breaches these terms, after notice where reasonable.

Governing law

These terms are governed by Norwegian law, and disputes are subject to the Norwegian courts, without prejudice to mandatory consumer protection in your country of residence.

Changes to these terms

We may update these terms. Material changes are announced by email at least 30 days before they take effect.
